Automatically send email from one account to another
Why you may need to send your email automatically to a 'Primary' email account
Most of us end up with several email accounts:
A work-related account.
An education-related account such as Webmail.
A personal web-based account such as Gmail, Yahoo or Hotmail.
It's easy to check one email account, but checking several of the things isn't so good. You'll need to set up rules to send your email on to an account that you use. That's easy to arrange:
Choose one of your email accounts and think of it as your primary one
Your primary account will be the one you'll use day to day. You might choose the one that receives the messages that are most important to you - or the account that's easiest to use, or that offers the most useful features.
Set up rules to forward your email to your primary account
Your employer or university will use these to communicate with you - either check these accounts regularly, or set up a forwarding rule to your primary email account to ensure you receive these messages.
Things to remember
If you've a web based email account that you don't often use but do need, visit it once every so often or you may find that your account is closed. You'll find something in the terms and conditions.
If you set up a rule to forward messages from account 'A' to account 'B' and accidentally set up another to forward messages from account 'B' to 'A', you'll have created what's known as a 'Mail loop' and the result will be entertaining.
You'll need to log in using Internet Explorer for this - so if you don't have this browser you'll need to use a machine with a recent version of Internet Explorer for this. You can borrow a friend's machine or use a Windows-based open access pc to set the rule. Here's how:
Log into your account using Internet Explorer
In the left hand column, select 'Rules'
Use the 'New ...' button to create a new rule
Give the new rule a name such as 'Forward'
Leave everything else alone, but select 'Forward it to' and type your alternate email address
Check the email address carefully
Deselect the 'Keep a copy in my inbox' - this will delete the copy in your bathspa account and prevent your email account from overfilling
Choose 'Save and close' - you'll see an unnerving message warning you about a potential rule conflict - the Exchange server needs to do some housekeeping to make 'Rules' work in this way, you can accept this.
The completed new rule dialogue will look something like this:
Select the image for a bigger version, use your browser's back button to return.
Test that this is working by looking out for email arriving in your 'Primary' email account from your Bath Spa webmail account. If nothing comes through, get suspicious, check the forwarding rule's settings or ask a Student Open Access Computer Support person for help. You'll find them in the University libraries.
Hotmail or '@bathspa.org': set up message forwarding
Set up a forwarding rule from Hotmail to your primary account as follows:
Open your '@bathspa.org' email account.
Select 'Options' - it's at top right of the browser window, then, at the bottom of the list, 'More options'. (Look in the web page itself, don't use your web browser software's 'Options' menu for this.)
Select 'Forward mail to another e-mail account' and provide an email address.
Send an email to yourself to test that everything's ok, check that your forwarding address receives the email.
Remember, somehow, to log into your '@bathspa.org' account at least annually so that it is not thought to have been abandoned and deleted.
Set up a forwarding rule from Gmail to your primary account as follows:
Go to your 'Gmail' account and select 'Settings'.
Select the 'Forwarding and 'POP/IMAP' tab.
Check the box for 'Forward a copy of incoming mail to' and provide your primary email address. Select whether you'd like your Gmail account to continue to store email that arrives for you.
Your Gmail account should now forward anything that arrives to your primary email account.
