Applications Server / Work Management System

Applications Server Overview

Select this for bigger versionBath Spa University's web based 'Applications Server' sounds scary but isn't - here's a link to the server itself. The applications server allows you to log jobs with various Bath Spa University departments, and much more as well.

To use it you'll need to log in - here's how - at a screen like the one on the left. (select it for a bigger image: use your 'Back' button to return ...)

Applications Server? What does this do?
You see it as a web site. Once you're logged in, it uses your profile to present you with links to information and services you need. For instance, it may offer you:
The Work Management System
Use this to request jobs of various Bath Spa University departments
Bath Spa University discussion boards
There's a set of these for various topics, and some are available to everybody whether enlisted at Bath Spa University or not.
What does this mean in practice?
If your computer workstation has a fault
Use the Applications Server to report the fault to the helpdesk.
A fault with a building,
Use it to report it to Property Services.
Health and Safety?
Report it in the same way.
Work with your staff profile
You can do this via the Applications Server
View the online telephone directory?
Also available on the Applications server
Why is this good?
Instead of you filling in paperwork and chasing this round Bath Spa University, before stacking it in filing cabinets, you're able to request jobs, process them and visit them onscreen to check progress and communicate about them.

Getting Going

Where do I find the Applications Server?
Use it via a web browser - so you'll need its address - and here's a link too:

Create a web link desktop shortcut

For web resources you use frequently, you can bookmark them, or give yourself a desktop icon for them. Here's how:

  • Log in to the system
  • in the address bar of your web browser, look for the symbol 'Internet Explorer - address flag' or 'Mozilla - address flag' to the left of its address.
  • Select this symbol and drag it to your desktop
  • This creates a new shortcut on your desktop - you can select that next time you need the Applications Server.
What else do I need?

  • Web browser software.
  • Your user name and password - to log in.

Using the Applications Server

The system recognises you - you've logged in so it knows who you are, and takes you to 'your own page' - if you're staff you'll have a link to the 'Work Management System' allowing you to log jobs. The contents of the 'list of links' depends on who you are - the system presents only the parts that you need.

Tasks

You can log jobs ...
... for the attention of other departments. Look for the link to the job request system ...
Tracking jobs
You can track the progress of jobs you've logged - you can also open them and provide further information, have a dialogue with the person 'on the other end' and help each other.
If the system sends jobs to you, you can deal with them
Look for your jobs in the link marked 'Work tray' ...
When you complete one of your own jobs
You can mark it as completed ...
Projects
If a job is large enough to be called a 'Project' the systems team can promote it so it is listed as such: you can then use the 'Project Tracking Page' track its progress.
When you find you've logged a job and it's all a dreadful mistake
You can call it up (use the job tracker) and cancel the job.

Hint: when you log a job, make the first three or so words of your description very relevant to the job itself - people will then be able to get a sense of what the job's about from a glimpse of it.

Other Things

You can get various other tasks done here: find the Applications Server's home page using the navigation link which looks like this:

Navigation in Work Management Database

You'll then find:

The Bath Spa University telephone directory
View this online
Manage your Bath Spa University web profile
Your staff profile is a page of information about you which you can make available on the Bath Spa University web server.
Use the dicussion boards
These are available to staff and students, and some are available to members of the public (e.g. the IGF discussion boards) while some are restricted to people at Bath Spa University (e.g. the lift sharing discussion board)
